Position Overview
We seek a highly organized, multilingual Administration Specialist to provide comprehensive support in office management, executive liaison, and procurement coordination. This role requires fluency in Italian, English and Mandarin Chinese, meticulous process management, and expertise in handling administrative procurement from tender to contract execution.
Key Responsibilities
- Oversee daily office operations, including office supplies, facilities management, fleet coordination, vendor relationships, and equipment maintenance.
- Manage front desk operations, greet visitors, maintain the guest log, and ensure a professional reception area.
- Provide necessary administrative support to the company president, including administrative and operational support.
- Monitor and maintain administrative assets: gifts, stationery and marketing materials; ensure accurate tracking of inventory, usage, and replenishment.
- Lead end-to-end procurement processes, ensuring compliance with procurement policies and vendor agreements.
- Organize internal events, team-building activities, and seasonal celebrations.
- Support company culture initiatives and internal communications.
Qualifications
- Bachelor’s degree with at least 2-years’ experience in administrative roles
- Proactive, problem-solving mindset and strong attention to detail, discreet with sensitive information
- Warm, professional demeanor and team spirit
- Strong organizational, structuring, and planning skills
- Professional fluency in Italian, English, speaking Chinese is a plus.
- Advanced Ms Office skills, especially Excel.
