The Arrivals and Departure Manager will be responsible for managing all airport operations for arriving and departing guests during the event ensuring every guest is personally met and welcomed by the airport team and assisted with their onward transportation.
This is a contract position starting in December 2025 and ending in March 2026. We are only able to consider candidates who live or have accommodation in Milan
Key Responsibilities:
Planning and organisation of airport procedures and systems
Guest Handling – planning and controlling systems and service
Communication – ensure excellent communication to team, guests & client
Management of iLUKA airport team
Develop a full knowledge & understanding of airport & airline procedures and operations
Ensure a full working knowledge of airport systems
Develop effective communication procedures with iLUKA airport team
Develop and maintain efficient system for distribution of all daily reports
Create onsite training programme for airport team and drivers
Produce an airport operation manual for training and reference purposes
Establish luggage labelling and tracking system
Ensure airport team is fully conversant with all aspects of airport operations including: airport layouts, international & domestic terminals, arrival & departure areas, airport parking zones, sponsor parking zones, minivan & other vehicle parking, coach call up procedures, luggage handling procedures, delayed flight procedures, accident or emergency, incident response procedures
Liaise with transport team to ensure efficient call up, departure/arrival procedures are in place and fully understood by transport and airport teams
Implement a control & check system to monitor guest arrivals
Ensure all guests are personally met and welcomed
Ensure clear guidelines for handling of delayed arrivals or departures
Develop effective luggage labelling and distribution system (for arriving and departing guests)
Establish friendly professional working rapport between airport team & all key supplier
Manage team to ensure they are fully briefed & immaculately presented
Develop communication processes to ensure effective communication between airport team and other iLUKA teams
Develop and implement training of all airport procedures to relevant iLUKA team members
Fully brief airport team on responsibilities and operations
Ensure team receive accurate daily reports
Monitor and manage team appearance and levels of service
Develop and brief team on operational rotas/hours of working
This is not an exhaustive list, and all team members will be expected to contribute to any other aspects of the business, as necessary.
Skills, Knowledge and Expertise:
Fluent in English and Italian
Experience of aviation & airport operations
Large scale event experience
Ability to lead & motivate a team to deliver outstanding customer service at all times
Demonstrate excellent communication skills to liaise with all relevant internal & external customers to build rapport, goodwill and co-operation
Excellent IT skills, Excel, Word, PowerPoint - confident using different platforms and devices
