Italy Registry and Meeting Services is the division within Computershare S.p.a. responsible for providing advisory and administrative services to Issuers and their shareholders. Italy Registry and Meeting Services is also responsible for the execution of all operational activities aimed at regular and timely keeping of the Registry and the 'Third-Party Securities Account (Custody) and various other in house services beyond management of meeting activities (member registration, quorum, voting, etc.).
A role you will love
This role within the division is to assist the Client Services Team to deliver excellent service to all clients and shareholders within correct guidelines and within a specified SLA timeframe. In this role you will work collaboratively with Senior Team Members and Team Leaders striving for excellence and continuous improvement with service delivery for our clients and its shareholders.
This role will require some business-related travel up to 10% of your working time.
The job purpose is as follows:
Correct and accurate maintenance of Lists and Schedules
General Office Assistance to Client Services Team
Work closely with other team members, issuers, brokers, Intermediaries, shareholders and internal departments where required to ensure all client activity is actioned and reviewed in order to meet service delivery levels.
Execution of all operational activities aimed at regular and timely keeping of the Registry and the 'Third-Party Securities Account
Management of Equity Plans reserved for Employees’ Share Plan, LTI, Stock Option Plans.
Management of the accounting and financial aspects of dividends and corporate actions, along with the related compliance requirements.
The preparation of standard statistical reports to be provided to the customer.
Management of meeting activities (member registration, quorum, voting, etc.).
Contacts with the corporate secretaries of client companies and with intermediaries (banks, SIMs).
Key responsibilities
Achieve required quality measures by ensuring correct, accurate work done within SLA timeframe.
Ensure that all documentation is organised for processing and updating. Ensuring that letters or emails are done for incomplete or invalid documents within service level agreement. Processing of certificates received from shareholders are validated and/or exchanged timeously for dematerialisation purposes.
Work according to Process and Procedures for shareholder queries and enquiries.
Suitable and correct responses are sent, grammar, spelling.
Always conduct a professional behaviour.
Completion of their personal policy reading, mandatory training and testing in timescales required for self and team.
All risks reviewed formally at least annually, or when significant changes occur.
All controls self-assessed within required timescales.
What will you bring to the role?
- Problem solving mindset with strong communication skills with both internal and external stakeholders
- We do offer training but previous knowledge and experience of financial processes, procedures and working environment would be beneficial.
- Bachelor’s degree or higher qualification in Business Administration.
- Good knowledge of English - B1 or above and Fluent Italian.
- Microsoft Office: Word, Excel (very good understanding, should be able to manage complex formulas, comparisons) and PowerPoint
