Job Description

We are excited to offer the opportunity for a highly motivated Executive Administrative Assistant to join the Company and enhance our business and scientific efforts. This role is crucial as it bridges our administrative and scientific teams, facilitating seamless communication and operational efficiency.

The ideal candidate will engage in a variety of administrative and clerical tasks supporting daily office operations and general administrative activities. The successful candidate should have excellent communication skills, both oral and written, and be able to efficiently organize daily activities using tools such as MS Excel and Office. A proactive, collaborative attitude and ability to multitask are essential.

Candidates with prior experience in similar roles will be given priority; and while specific skills are preferable, applicants with transferable, related skills are encouraged to apply.

Key Responsibilities:

    Implement and oversee office systems, including data management and filing;
    Manage travel arrangements, visa procurements and accommodation for staff;
    Handle phone calls, inquiries, and requests, addressing them appropriately;
    Translate documents, emails and promotional material to and from English;
    Efficiently manage incoming e-mails and regular mail;
    Perform dictation and transcribe information accurately.

Competencies:

    Exceptional written and oral communication skills in both Italian and English;
    Proficient in word processing and competent with a variety of IT and software applications;
    Ability to work under pressure and meet strict deadlines;
    Strong organizational and time management skills;
    Ability to research, digest, analyze and present material clearly;
    Flexibility and adaptability, capable of juggling a range of different tasks;
    Discretion and ability to handle confidential information

Requirements:

Basic qualifications:

    High school diploma or equivalent; college degree preferred;
    At least 2+ years of experience in the same role.

Preferred qualification:

    Bachelor’s degree.
    Bilingual proficiency in Italian and English (C1/C2 certification required);

The position is based in Pomezia (RM)
