Overview
The Global Supplier Onboarding Manager is responsible for leading the end-to-end onboarding process of new suppliers across international markets. This includes managing supplier integration into company systems, ensuring compliance with internal policies and external regulations, and fostering seamless collaboration between internal teams and new suppliers.
This pivotal role ensures that suppliers are onboarded efficiently and effectively, while upholding the highest standards of quality, compliance, and operational excellence.
Main Activities & Responsibilities
Supplier Onboarding Process Management
Lead and manage the global supplier onboarding process to ensure a smooth and structured transition into the supply chain ecosystem.
Collaborate with procurement, finance, IT, compliance, ESG, HSE, quality assurance, and other relevant functions to complete onboarding activities and required documentation.
Monitor and drive the timely execution of onboarding steps, including supplier registration and risk matrix evaluations.
Supplier Integration
Oversee supplier integration into procurement and business systems, ensuring accurate data capture and procedural alignment.
Manage setup in the Supplier Management System, ERP (e.g., SAP, Oracle), and other relevant platforms.
Facilitate clear and consistent communication between suppliers and internal stakeholders regarding timelines, requirements, and expectations.
Risk Management
Ensure all new suppliers meet standards defined by the company’s Risk Matrix and applicable legal requirements.
Maintain records for certifications, audits, and other compliance documentation.
Identify, assess, and mitigate risks throughout the onboarding process in coordination with relevant teams.
Supplier Training and Support
Deliver training to suppliers on systems, processes, and performance expectations.
Offer ongoing support during onboarding to resolve questions and clarify procedures.
Ensure suppliers are aligned with KPIs, quality standards, and reporting requirements.
Cross-functional Collaboration
Work closely with procurement, IT, compliance, quality, ESG, HSE, finance, and supply chain teams to ensure alignment on onboarding practices.
Maintain open communication with all stakeholders to address any changes or challenges during onboarding.
Continuous Improvement
Identify opportunities to improve the efficiency and effectiveness of onboarding processes.
Gather feedback from internal teams and suppliers to inform process enhancements.
Lead initiatives to automate and streamline onboarding, reducing cycle times and improving supplier experience.
Documentation and Reporting
Maintain complete and accurate onboarding records, including documentation and communication logs.
Generate regular reports for leadership on onboarding status, key metrics, risks, and issues.
Track performance metrics such as onboarding duration, compliance rates, and system integration success.
Supplier Relationship Management
Establish strong, collaborative relationships with new suppliers during onboarding.
Resolve issues proactively and support suppliers in navigating internal processes.
Serve as a primary point of contact to ensure a positive onboarding experience.
Team Management
Lead and develop a global team of up to 10 Supplier Management Specialists.
Provide direction, coaching, and support to ensure team performance and consistency across regions.
Job Requirements
Education
Bachelor's degree in Supply Chain Management, Business Administration, Procurement, or a related field.
A Master’s degree or certifications (e.g., CPSM, CSCP) is a plus.
Experience
5+ years in supplier management, procurement, or operations.
At least 2 years leading global supplier onboarding processes.
Minimum of 2 years of team management experience.
Familiarity with ERP systems and supplier management tools.
Strong understanding of global trade, compliance, and risk management.
