Overview
We are looking for an Assistant to act as our point of reference for office management to be based in our Milan office.
Responsibilities
Your Responsibilities will Include but not be limited to:
Secretarial support: travel reservations, correspondence, archives, administrative procedures, editing reports, publications and presentations.
Provide general support to visitors.
Office management: manage office maintenance, supplies, and equipment (stationery, kitchen and IT). Support in the organization of internal meetings. Take part in the onboarding of new joiners.
Fleet management: support the CFO in managing the company car fleet (maintenance, car taxes, admin, fines…)
Marketing support: Support the planning of events and communication activities: organization of meetings (both residential and online), from mailings to assistance to participants (registration, reservations, information), to editorial production of presentation materials. Support the HR team in the preparation of marketing materials for recruiting events.
Qualifications
The skills that will best prepare you for the job include:
- Fluency in Italian and English (both written and oral)
- 1 to 3 years’ experience as an Office or Administrative Assistant
- Good organization skills and time management
- Confidence with IT and computer packages (excellent Word and PowerPoint skills)
- A bright and positive attitude and the ability to stay calm and tactful under pressure
- Accuracy and good attention to detail
- Discretion
- Good team attitude
Work Mode: On-site work is required due to the nature of the role.
Contract Type: Depending on your seniority in the role, you might start your career with fixed term contract, after which a permanent one will be evaluated.
