This position will reporting to Professional Affairs, Senior Manager, EMEA and will be based in Italy (Milan area) working in hybrid role.

What will you be doing?

As a Professional Affairs Specialist, you will manage a variety of interactions with healthcare professionals (HCPs), including contracts for education, marketing, research and development, and indirect sponsorships. You will apply your knowledge and experience to work on problems of moderate complexity and impact, exercising sound judgment within established procedures. In this role, you will create and refine internal processes while collaborating closely with cross-functional teams such as Medical Education, Marketing, Compliance, Finance, and in and out of country medical leaders.

You will also manage all contracts with healthcare professionals in accordance with Smith+Nephew's compliance policies and local laws. This includes the elaboration of necessary documentation for the creation of contracts and payments, as well as document management in close cooperation with various departments such as medical education, marketing, research, finance, and with senior medical specialists in Italy.

Contract Management

  • Independently manage documentation related to HCP engagements, including correspondence and contractual records.
  • Develop documentation necessary to enter into agreements to meet business objectives across education, product development, marketing, and grants.
  • Demonstrate proficiency in preparing HCP contracts, including justification for HCP selection and defining Tier/Band levels per Professional Affairs policies.
  • Coordinate with service providers and marketing on work plan development and reporting.
  • Manage contracts using global tools and processes (Engage and SmartSheet).
  • Deliver training sessions to HCPs and internal stakeholders on S+N engagement processes, contract terms, and documentation expectations where necessary.
  • Proactively identify and resolve contract-related issues both internally and with external stakeholders.

Payment Management

  • Review, validate, and process payment documentation in coordination with the Procurement and Finance teams, ensuring accuracy and compliance.
  • Liaise with internal payment departments and utilize appropriate tools.

Management of Authorities (Declarations/Authorizations and Transparency)

  • Perform tasks related to local regulations governing relationships with HCPs.
  • Prepare and submit external and internal transparency reports.

Management of Indirect Sponsorship Grants

  • Oversee all Italian Indirect Sponsorship Grants, acting as the main contact and liaising with the business and travel agency to ensure timely and compliant execution.

Internal Tools and Collaboration

  • Act as the first point of contact for conflict resolution with HCPs and HCOs on strategic initiatives.
  • Manage Engage and monitor activities.
  • Train and support users on Engage.
  • Create and analyze reports on HCP engagements, financial commitments, and contractual activity, supporting compliance monitoring and business insights.

Additional Tasks

  • Advise Business units and perform all duties in accordance with Professional Affairs, Compliance and Ethics Office policies, and the Company’s Code of Conduct.
  • Serve as the primary point of contact for all HCP-related inquiries within your designated country/region, offering expert guidance and timely resolution of queries.
  • Manage and resolve complex situations involving HCPs and other healthcare organizations, demonstrating professional judgment and diplomacy.

What will you need to be successful?

  • Proven experience in compliance, contracting, professional affairs, or a related discipline—ideally within the medical device, pharmaceutical, or healthcare industry.
  • Demonstrated ability to manage tasks with moderate complexity and to exercise judgment within established guidelines.
  • Skilled in working autonomously while contributing to cross-functional teams.
  • Strong communication and relationship management skills, including experience interacting with senior healthcare professionals.
  • Attention to detail with the ability to manage and process high volumes of documentation accurately and efficiently.
  • Proficiency in Microsoft Office and digital document management systems.
  • Fluent in Italian and English; additional European languages are a plus.
